Reviewing Entries

Approving and rejecting entries on your event, changing your mind afterwards, what the markers on each row mean, and what the fighter is told.

Where to Find It

The Registrations card on Manage, on your own event. Its heading counts every entry, and the newest are at the top.

Every entry is listed here, rejected and withdrawn ones included. This is the one place you see those: the public list of competitors on your event page shows pending and approved entries only.

While nobody has entered, the card says No registrations yet. and, once your event is published, offers Find fighters to invite. See inviting fighters.

You hear about each new entry, and each withdrawal, in the bell. They are emailed to you too, unless you switch off Email me when somebody enters or withdraws under Settings → Notifications.

What Each Row Shows

  • Fighter — their name, with their profile photo if they have one.
  • Gender — whatever their profile says today, or a dash if it says nothing.
  • Declared weight — the weight they entered at. Once somebody records what they weighed at the weigh-in desk, a Weighed line appears underneath. It never replaces the declared weight.
  • Paid — on an event with an entry fee only. See the markers below.
  • Status — Pending, Approved, Rejected or Withdrawn.
  • Actions — what you can do with the entry right now.

The Markers

On an event with an entry fee, the Paid column shows:

  • An amount — what the fighter paid for this entry, the service fee and card cost included, less anything you have refunded. It is a different figure from your entry fee, which is why it will not match Entry fees collected further down.
  • Not paid, in amber — nothing currently pays for this place, for example because the payment was refunded in full.
  • Chargeback open, in amber under the amount — the fighter’s bank is disputing the payment. The entry itself is left alone; see payments and payouts for hosts.

Under the status, Checked in appears in green once the fighter has been checked in at the weigh-in desk. Nothing appears before then, because not yet having arrived is the ordinary state.

Approving and Rejecting

A pending entry has two buttons.

  • Approve takes effect at once.
  • Reject asks first. The window names the fighter, says they will be told by email that you did not accept their entry, and — if they paid — that the amount becomes a refund you owe. Press Reject entry to go ahead, or Keep it to back out.

Approving is more than a badge. Only approved entries can be paired into bouts, so an entry you have not reviewed cannot go on the card. See matchmaking and the bout card.

Changing Your Mind

A decision is not final.

  • An approved entry offers Reject after all, which asks first, as Reject does.
  • A rejected entry offers Approve after all.

Each change tells the fighter again, with the new outcome. An email already sent cannot be taken back, which is why rejecting asks first.

A rejected fighter cannot enter your event again on their own — Approve after all is the way back in, and only you can press it.

A withdrawn entry has no button, only the word Reviewed. Withdrawing was the fighter’s own decision, so you cannot put them back on the card. They can enter again from your event page themselves while registration is open.

What the Fighter Is Told

The fighter is told every time you approve or reject them, in their bell and by email. There is no switch to turn these emails off, on their side or yours.

  • Approved — the subject tells them they are in, and names the event. The email says you have approved their registration at the weight they declared, and when the event takes place.
  • Rejected — the email says you have not accepted their registration on this occasion. It gives no reason, because BoutHost never asks you for one, and it suggests they ask you for details or find another event.

Both link to your event page.

A Paid Entry You Reject

If the fighter paid, rejecting them puts the entry on the Refunds owed card on Manage, and issuing the refund is up to you. Payments and payouts for hosts explains how. If you approve them after all before refunding, it comes off that card by itself.

BoutHost

BoutHost is combat-sports event management — hosts run events, fighters declare the weight they will compete at, and federations confirm the cards they have sanctioned.
